By its nature the Payrolld App processes data submitted by Credit Union and the Payroll Deduction Partners of the Credit Union. Data processed by the Payrolld App includes:
- Membership numbers
- Amounts saved or repaid for Credit Union services
- Number of savers from each Payroll Deduction Partner
- Name of Credit Union officers
- Name of Payroll Deduction Partner officers
- Contact information, including email and telephone of Credit Union and Payroll Deduction Partner officers.
- Promotional material generated by Credit Union
- Any other personal identifiable data processed by being sent through the messaging system
Payrolld App will only process data outlined above only and where further data is needed or used Credit Union and Payroll Deduction Partners will be notified prior to processing the new information.
We have ensured that our security of the Payrolld App is resilient against attacks including (though not limited to):
- Password hacking
- Unauthorised access
- Data theft
- System disruption
We manually create passwords for each new user to the Payrolld App using standard password security standards. Users are then able to change their access password to customise them towards their business.
The Payrolld App has an internally applied maximum number of login attempts to prevent brute force attacks on the Payrolld App. Where an attempted attack occurs that User will be temporarily suspended from accessing Payrolld App and an investigation launched on recurring breaches.
Users are pre-created by Payrolld staff and the Payrolld App is only to be accessed by those Users. Any unauthorised access will result within the temporary suspension or permanent exclusion from the Payrolld App.
The manual process ensures that the correct Users and the correct data is delivered to the correct person.
We use industry standard encryption with SSL integration as well as encryption of aspects of the dashboard for each User. Files are further protected by user permission meaning that in the remote chance that a file is located by an unauthorised third party, they will be prevented from viewing the file.
Files are automatically deleted when a new version is submitted by the User. However, some versions may remain in back-ups stored on back-up servers.
We also track IP addresses, in which identified malicious IP addresses will be banned from accessing the Payrolld App.
Robots and Spiders are also banned from accessing and processing the Payrolld App for added protection against data breaches.
Failed attempted access and IP tracking and black listing both helps to ensure that Payrolld App is not attacked by a malicious User. The manually created structuring of the individual User dashboards helps to ensure that such attacks and disruptions are kept at a minimum.
Data Storage and Backups
Data submitted and processed by the Payrolld App is stored within a secure server. Backups of data is also stored within an encrypted environment ensuring maximum security.
Data stored within the system are generally stored for a maximum of the following:
- Inserted statistics – stored indefinitely. (This includes totals of data entered and statistic updates).
- Files – until a new version is submitted. (This includes payroll deduction submissions).
- Personal data – until new version is submitted (this includes email address and names).
- Backups – for 3 months (this includes Files submitted that were captured within the backup).
- Logos – indefinitely, until updated version provided
- Images for promotions – until new version is submitted.
Backups carried out regularly and typically prior to updates or editions. This is to ensure potential for data loss is limited.
